Fabric Sample RFQ Checklist for Sourcing Buyers
A first fabric sample request should travel as a complete RFQ packet, not a one-line ask for a swatch. Name the end use, construction family, GSM, width, color method, and sample quantity before you ask the mill to cut. How should a first fabric sample RFQ be written?
Sourcing buyers often send a fabric family name and wait. Velvet or chenille is a label, not a cutting instruction. The mill still has to choose a face, a backing, a width, and a color route. If those facts arrive later, the first hanger may not match the sofa program you meant.
Start with the job the fabric must do. Residential sofa, hospitality seat, decorative pillow, or a mixed home-textile line each changes stain and sew questions. Write the job in the first sentence. Then list only the construction facts you already know. If GSM is unknown, mark it unknown. A guessed GSM that feels wrong on the sofa line wastes a courier loop.
Keep the packet short enough that one purchasing owner can stand behind it. Photos help as direction. They do not replace a Pantone, a physical swatch, or an honest unknown mark. If two colleagues send two stories, the mill will cut two incomplete requests. Name one contact, one application, and one sample quantity before the message leaves your desk.

Where can you request samples?
Use request quote for RFQ language. If the sample is the start of a private color, width, or backing build, also open custom warp-knit fabric so the reply can stay on the OEM path.

What sample quantity should a sourcing buyer ask for?
Ask for the smallest piece that can settle the next factory decision. A credit-card swatch can settle color and handfeel for a merchandiser. It cannot settle sewing, seam slip, or how a velvet pile sits on a seat pan. A hanger is the usual next step when a designer must show a sales team. A one-seat trial is the right ask when the factory already locked a frame and needs to see cut, sew, and crush on a real panel.
Do not ask for a bulk roll as the first sample unless a written program already exists. If your buying committee needs a number before the mill cuts, ask for that number on the same WhatsApp thread and treat the answer as category-specific until it is written on a quotation.
Color is the usual second loop. A phone photo is a direction, not a lab dip. If the sofa collection has a locked brand color, say that a lab dip is required after the nearest running quality is seen. If the collection is still exploring, ask for nearest running colors first so you do not pay for a dip you will abandon.
When is a sample request complete enough to send?
The packet is complete when the seven checklist fields are filled or honestly marked unknown. Missing application is not complete. Missing ship-to is not complete. Unknown GSM is complete if you say unknown and describe the handfeel you need. Unknown backing is complete if you say the factory has no backing spec yet. Guessed numbers that later fail incoming inspection are worse than unknown marks.
Hospitality and outdoor programs should say so early. Those uses change stain, wet abrasion, and sunlight questions, and they should not hide inside a residential sofa label. The mill can still support mixed brands, but the sample plan changes. Keep certificate language out of the first message unless you already hold a scoped document. Ask whether a test report exists for the sampled quality; do not assume a standard from a collection name.
